Privacy Policy

• Information you give us — business name, owner name, phone number, email address, state, and any details you share when you submit our callback form or speak with our AI receptionist Sarah.
• Call data — when you call our demo line or Sarah calls you, we record the call and generate a transcript so that we can answer your questions, improve the service, and follow up. Recordings are stored securely and accessed only by Michael James and authorized service providers.
• Usage data — basic web analytics from https://tradesvpa.com (pages visited, referrer, approximate region from IP) collected via our hosting provider.
• Customer business data — if you become a paying customer, we store the calls, quotes, appointments, and payments that flow through your account so you can review them in your portal.

• To respond to demo requests and operate the AI receptionist service.
• To send transactional SMS and email related to the service you requested (see our SMS Terms).
• To bill paying customers via our payment processor (Stripe).
• To improve the AI models and prompts that power Sarah.
• To comply with legal obligations.

• We do not sell your personal information.
• We do not share or rent phone numbers, emails, or call recordings to third parties for marketing.
• SMS opt-in data and consent records are never shared with third parties or affiliates for any purpose.

We share only with service providers that help us run the service:

• Vapi — powers the AI voice receptionist (call audio + transcripts).
• Twilio — telephony and SMS delivery.
• SendGrid — transactional email delivery.
• Anthropic — LLM that generates Sarah's responses and message personalization. Inputs are not used to train Anthropic models by default.
• Supabase — encrypted database for prospect and customer records.
• Stripe — payment processing (we never see full card numbers).
• Vercel & Railway — hosting providers.

We may also disclose information when required by law (subpoena, court order, fraud investigation) or to protect the rights, safety, or property of TVPA, our customers, or others.

Prospect records are kept for up to 24 months from last contact. Call recordings and transcripts are kept for 12 months. Customer records are kept for the life of the account plus 7 years after closure for tax and legal recordkeeping. You can request deletion at any time using the contact below.

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, and to opt out of certain uses. To exercise any of these rights, email michaeljj3901@gmail.com. We will respond within 30 days.

TVPA is a business-to-business service and is not directed to anyone under 18. We do not knowingly collect personal information from children.

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent change. Material changes will be notified by email to active customers.
